Accounting & Administrative Associate

 

Business professional to support accounting, human resources, business development and office management activities.

 

Work Description:

 

Accounting: Using QuickBooks, prepare invoices & statements, enter payments received & deposit checks, review and enter bills, verify completion and payment from client and then pay bills.  Monitor project awards, POs received, milestone completion and invoicing.  Compile timesheets and prepare payroll. 

Human Resources: Assist with placing job postings, contacting candidates, scheduling interviews and preparing offer letters.  Prepare employee onboarding paperwork, maintain employee file and perform employee release tasks. 

Business Development: Support preparation of quotes and proposal, statement of qualifications, brochures, work with engineers to develop project descriptions, scope of work, estimates, assemble resumes, project summaries, and company qualifications for proposals.  Enter and track proposals on CRM software.  Support customer relationship enhancement.  Arrange convention and conference exhibits and marketing materials, etc.

Operations: Apply, maintain and renew PE licenses, corporate engineering licenses or certificates of authorizations, MBE/DBE registrations, State and Local licenses.  Maintain software subscriptions.  Maintain co. insurance policies, health insurance, dental and AD&D policy.  Maintain company standards and operations manual.

Office Management: Manage office space and organization, building maintenance management, office supplies, etc.  Organize office activities for employee development, training and team building.

 

Desired Qualifications:

Education: Associates or Bachelor’s Degree in business management, accounting or marketing, or currently enrolled in same.

Experience: 1-5 yrs.

Personal Skills: Good interpersonal skills, good written and oral communications skills, organized, and self-starter.

Business or management skills: Capable of handling several roles including accounting, business management and business development skills. Prior experience in most of above skills is desired. Must be able to manage time effectively, plan ahead for larger tasks or projects, and maintain licenses/registrations on time or before.

Software: Proficient in Word, Excel and Outlook.  Intermediate level QB experience required.

Notary Public: has one, or ability to obtain soon.
